Can I get a better price for a speaker if I go to a few different bureaus?
No, there is fee integrity among the bureaus and all speakers list their fee at the same price across the board. Shopping a variety of bureaus is time consuming and will not yield you with better speaking honorarium fees.
If a speaker is listed as "exclusive" through another bureau can I book that speaker through you at the same cost?
Yes, an exclusive speaker is solely marketed by a specific bureau. An exclusive speaker can be booked by any agency at the exact same pricing.
Is it less expensive for the client to contact the speaker directly?
It is not less expensive for a client to book a speaker directly. The speaker's bureau does not add on a percentage to a speaker's honorarium. The speaker pays a percentage of his honorarium to the bureau. If a client books the speaker directly, the entire honorarium is paid by the client. Professional ethics dictate that fee integrity stays consistent if booking directly or booking through an agency.
If I have the speaker do a keynote and a breakout, will the fee double?
Most of the time there will be an additional cost to have a speaker do a breakout session in addition to a keynote. However, the fee is not usually double. The rule of thumb is fee and a half. You will find some speakers who will add the breakout at no charge or a small additional fee. The biggest benefit to the client is not having to pay expense for two speakers.
What are the payment terms?
The standard arrangement includes a deposit, along with the signed contract within 10 days of the booking. The remaining balance is due two weeks prior to the presentation. Typically, expenses for travel and other incidentals will be billed after the event.
Are there any other costs in addition to the speaker's presentation fee?
Typical expenses for which the client is responsible include:
- Round-trip airfare
- Ground transportation in the venue city and often in the originating city.
- Overnight accommodations
- Food and incidentals (sometimes arranged as a per diem charge)
- Audio/visual equipment (especially when booking high-end entertainers or high-profile celebrities)
We have found that many clients prefer an all-inclusive flat fee arrangement for all travel expenses. Please let us know if this is something you'd like to put into the firm offer.
How can I best prepare my speaker for our meeting?
It is important to give your speaker as much information about the meeting and audience as possible. The more informed the speaker is, the better he/she can customize their talk. Most speakers will want to have a conference call with the client to make sure their talk is in line with the clients goals.
Can I schedule a conference call with my speaker in advance of the event?
In most cases, yes. We are happy to arrange a conference call with a speaker. These calls help provide further insight as to how the speaker could best meet your objectives and expectations. We encourage our clients to use this time to discuss background information and specific objectives and expectations of the presentation. Your event coordinator will take care of coordinating the specific logistics of the event.
Who will take care of the flights, hotel, ground transportation, etc?
Although this may vary, most speakers prefer to handle the travel arrangements themselves. Our event coordinators will assist you every step of the way to handle the speaker's travel logistics to meet your event timeline. Executive Speakers Bureau will provide you, prior to the engagement date, the presenter's final (detailed) travel itinerary and all other pertinent information.
When will I receive my speaker's flight itinerary?
Generally speaking, most itineraries will be ready for your review two weeks prior to the event. In the rare instance when a speaker's schedule must remain fluid up till the last minute, you will be given an estimated time when all details, flights and logistics will be finalized.
Is it okay to record the presentation?
A Video Permission request form must be submitted and written permission obtained prior to the presentation. Permission for Video recording privileges varies based on the purpose of the recording and the speaker's personal policy.
